Submitting Events - Event Diary Guidelines

Introduction
The NFED provides the free event diary for events organised by a BHS Affiliated Riding Club or non-profit organisation (Pony Club, BHS, BD, YFC, Hunt, etc), or held primarily in aid of a registered charity, club funds or good cause.

Events held by a commercial venue, individual or entity as part of their business or for profit or gain must have a corresponding Standard Listing in the NFED Services Directory to be eligible.

Note: Use of the event diary is not included with an Economy Listing.

Commercial events held at a venue with a standard listing are eligible.  These venues are marked #freecommercial. Find a Venue

To avoid spam & unsuitable events, all events are posted & edited by the administrator. You simply submit the details, if approved the event will be posted in the diary for you. If the event is cancelled or needs amending, contact the administrator.

Types of Event

 BHS Affiliated Riding Club or Open Shows, Competitions & Pleasure Rides

  • Events run by a BHS Affiliated Riding Club or non-profit organisation, Pony Club, BHS, BD, BSJ, BE, Hunt, etc. Free Diary Entry

Commercial Shows, Competitions & Training

  • Any event or series run by a commercial venue, individual or entity as part of their business or for profit. Standard Listing in the NFED Services Directory is required. Include the directory listing name or reference number in the notes for admin.

Clinics, Training & Demonstrations

  • Held by a BHS Affiliated Riding Club or organisation; Pony Club, BHS, BD, BSJ, BE, etc. Free Diary Entry
  • Held by an Instructor with a Standard Directory Listing. Free Diary Entry
  • Held at a Venue with a Standard Directory Listing. Free Diary Entry
  • Any event or series run by a commercial venue, individual or entity as part of their business or for profit. Standard Listing in the NFED Services Directory is required. Include the directory listing name or reference number in the notes for admin.

Tack Sales

  • Held by a BHS Affiliated Riding Club or organisation; Pony Club, BHS, BD, BSJ, BE, etc.  Free Diary Entry

  • Venue has a Standard Directory Listing. Free Diary Entry

Commercial Venues
Commercial venues include: equestrian centres, livery yards, cross country courses, etc, that hold or host equestrian events as part of their business.

Directory Listings
If you have a commercial venue, regularly hold events, clinics or hire out your venue, course, arena, facilities or equipment, a Standard Listing in the NFED Services Directory will give you or anyone using your venue full use of the event diary.

Event organisers & instructors with a Standard Listing in the NFED Services Directory can advertise events in the diary regardless of the venue. 

A Standard Listing in the NFED Services Directory costs only £40 per year or £3 per month by PayPal subscription, a link will be added to each event: Click Here to submit your Directory Listing details.

Note: A basic economy listing is also available, but events are not included with an economy Listing.

Mixed Events: If the event contains both open & commercial events, the commercial event will take precedence, the commercial event rules will apply.

Virtual Events & Online Shows are not accepted The diary is for events that can be attended only.

Submitting an Event
The easiest way to submit your event details is to use the submission form - Click HereThe form will ensure that all required details are provided.

You can Email the details to editor@nfed.co.uk with subject: NFED Event Diary Submission. 
The events details are needed as text to allow us to copy & paste into the calendar.
Screen shots or images are not text, therefore unacceptable & the event will be rejected.

Please avoid duplicate entries. If unsure, check the diary to see if the event is already listed.

The required details are:

  1. Event Title: Provide the name of your event, i.e. Something Horse Show or Jumping Clinic with Instructor Name
  2. Event Location: Please enter the full address & Postcode. Further instructions such as What3Words can be included with the event details.
  3. Event Date: Select the date
  4. Event Time: Choose between All Day or Timed. If a timed event, please select both start & finish times. If a finish time is not provided, a rough time will be entered for you as the calendar does require both.
  5. Repeat Dates: Only use if the identical event is run on other days, enter the dates dd/mm/yy.
  6. Event Description (Max 1500 Characters): Please provide brief details of the event. Please don't copy the entire schedule, this can be attached as a download.
  7. Entry Contact Email: An Email address for entry queries. (A contact phone number &/or an Email MUST be included).
  8. Entry Contact Phone: A phone number for entry queries. (A contact phone number &/or an Email MUST be included).
  9. Type of Event: Select the type of event from the drop down menu.
  10. Online Entry Link: If you are accepting Online Entries, provide the full Online Entry URL.
  11. Schedule: Upload a schedule if available. Documents can also be submitted by Email if/when available.
  12. Entry Form: Upload an entry form if available. Documents can also be submitted by Email if/when available.
  13. Other File: Upload another file if required. Documents can also be submitted by Email if/when available.
  14. The event is eligible for inclusion because: Please select the reason why the event is eligible for inclusion in the NFED Diary.
  15. Notes for Admin: Please include any notes such as the club or charity details.
  16. Your Email: Please include a contact Email address. Confirmation Emails will be sent to this address.
  17. Accept Guidelines: Tick to confirm that you have read have read & accept these Guidelines.

IMPORTANT
The form will not send if required details are missed. Please go back over the form & include everything marked or outlined in red, then submit again. If the form is submitted successfully, you will see a confirmation page & email will be sent to the address supplied.

Repeat Event Dates
This is intended for regular events such as weekly or monthly clinics where each event is exactly the same except for the date. Providing each event is identical, enter the extra dates in the repeat date field. As each entry will be an exact copy, all details must be the exactly the same including schedules, documents & online entry links. If there is any difference between the events, each event must be submitted individually.

Short Summary of Event  (Max 1500 Characters)
Please include a brief summary of the event. Do not include the entire event timetable, classes, etc as this can be included in the downloadable schedule. There is no need to repeat the title or location, this will be shown at top of the event.

Details should be plain, unformatted text in a single column. There is a maximum of 1500 characters, anything over this will be omitted. Copying & pasting from a schedule may cause formatting issues. 

Do not include advertising, show sponsors or links in the event details. Online entry links can be included in the space provided, providing the full URL is supplied a button will be added.

If you don’t yet have all the information, we are happy to list place holders to allow others to organise their dates, but the basic information must still be included. i.e: Date, title, venue, short description & contact details. Further details can be added later when available.

The following can be included or added at a later date.

8: Schedule if available.

10: Online Entry Link if available.

Providing all of the above is supplied correctly, the details will normally be added to the calendar within 24-48 hours. Events submitted at short notice (less that 7 days) may not be included or featured.

* If required details are missing, the event will be rejected without notice.

You will be sent an Email containing a link to allow you to share the event directly with friends, clients, members or customers. There is a link to the shopping cart for payment, but this can be ignored for free events.

Only direct, genuine online entry links will be used, other website links are NOT accepted. See below.

Schedules, Entry Forms & Downloads.
To protect the interests of our advertisers & the safety of our users, schedules must be held on our own servers. This allows us to check all downloads for viruses or malware before making them available to the public.

If you use the event submission form the schedule & entry form can be uploaded with the event details, or you can email the documents when available. Please attach to the email, we do not download documents from a link for safety reasons. 

We take great pride in the site & always try to provide quality information. Please send the original documents if possible, we can convert to PDF from most formats & will add a watermark to show where the document came from. Please try to send multi page schedules as one document, if not we will try to combine the pages for you, but this can be time consuming & may cause delays.

Screens shots should be avoided if possible, out of focus uncropped photos will not be used. If you have the original document, please send that, it is far easier all round!

If a schedule is amended, please send over the full replacement & the online version will be exchanged for you. The watermark will show V2, V3, etc & the dated amended.

Online Entries
If you are using a genuine online entry or booking system that allow people to submit entry & pay securely online, a link button will be included, providing the full link to the actual event is supplied. The full URL will include the unique event details.

Don't expect us or our site users to search for the event. www.equo.com, find us on Equo or similar will not be used. Do Not use an online entry link in place of the event details summary, this will not be accepted.

A social media or club events page is not an online entry system, unless submission & payment is accepted.

Finally!
Please help us to help you by supplying all information, checking your spelling & grammar. Running the events section takes a great deal of time; correcting submissions or searching for information just makes it much harder. Not including commercial aspects of the event to avoid payment obviously wastes our time & puts the whole event diary at risk. Therefore, further event submissions from the same person may not be accepted.

Please give as much notice as possible. It is far better to submit the event as soon as you have the date, further details, schedule & online entry links can be added when available. Events submitted at short notice (less that 7 days) may not be included. 

The NFED is a trusted resource, to retain this trust it is very important to keep the calendar up to date. If the details need to be amended or if the event is cancelled, please contact us by Email as soon as possible. Failure to inform us directly of any changes undermines confidence in the diary, undoing our hard work. If this happens regularly, we may reject further events.
